Labeling hardware wallets for residency questionnaires
Why consistent device labels matter when immigration forms ask about offline assets without room for technical footnotes.
Immigration and tax residency forms increasingly include a line for digital assets held outside exchanges. The space is small. If your only identifier for a hardware wallet is a serial number scraped from the device back, counsel must attach explanatory letters—letters that sometimes arrive after deadlines.
We recommend a labeling scheme before documentation begins:
Location-first labels — “Seoul home safe — BTC long hold” tells a reviewer where custody lives without revealing key material.
Role labels for multisig — “Signer A — attorney hold” documents function, not key contents.
Avoid exchange nicknames — “Coinbase withdrawal wallet” confuses reviewers who think funds remain on an exchange.
When we build inventory sheets, we transcribe your labels exactly. Changing labels mid-project triggers a change-log page and delays binding. Spend thirty minutes at intake aligning labels across devices, safe deposit slips, and insurance riders.
For German Anmeldung supplemental sheets, we map your labels to Finanzamt vocabulary in the annex—not on the main inventory—so you can update mappings yearly without reprinting device pages.
Korean foreign-registration forms often ask for acquisition dates. If you lack receipts, we document “estimated acquisition — client statement” with the date range you approve, never inventing precision you cannot defend.
Singapore PR renewals may request valuation on a fixed date. Prepare watch-only screenshots the evening before that date; we stamp the appendix with the screenshot hash and time you provide.
Label discipline is the cheapest part of cross-border documentation. It is also the part most holders skip until a form is due in ten days.
